DonorsTrust, the nation’s largest and oldest donor-advised fund provider dedicated to promoting liberty and serving donors who share that mission, seeks a full-time, in-person Assistant to the Vice President of Programs/Office Manager to support with grants processing, client communications, office management and organization, and various administrative tasks.

DonorsTrust’s donor-advised funds work like charitable savings accounts for donors who are committed to protecting our nation’s constitutional liberties and strengthening civil society through private institutions rather than with government programs. Since our founding in 1999, our client donors have recommended over $2 billion in grants to more than 3,000 civic and liberty-oriented charities. DonorsTrust currently holds over $1.3 billion in assets, primarily allocated to our donor-advised fund accounts. DonorsTrust has a lively and boisterous office with great Outreach, Grants, and Accounting teams.

The Assistant to the Vice President of Programs/Office Manager will work primarily in DonorsTrust’s Alexandria, Virginia office with the flexibility to work remotely on occasion. This position will report directly to the Vice President of Programs. Ideal candidates will be detail-oriented, well-organized, trustworthy, discreet, poised, and have a friendly and collegial personality. The person in this role will be a fundamental part of ensuring that our office operations run smoothly and successfully every day.

Assistant to the Vice President of Programs Responsibilities

  • Assist the Vice President of Programs by tracking and recording incoming grant requests, weekly grantee public charity status checks, and other duties as assigned
  • Performing minor accounting duties on behalf of the Vice President of Programs
  • Organizing meetings, including scheduling and sending reminders for the Vice President of Programs
  • Completing other duties as assigned

Office Manager Responsibilities

  • Serve as the main point of contact for incoming phone calls (including but not limited to those from clients, vendors, and media) and in-office visitors (greeting visitors to the office, ensuring guests are comfortable and connected with the right office personnel)
  • Monitoring office supplies and ordering inventory for office space
  • Managing the office calendar and sending weekly calendar roundups to staff
  • Managing incoming and outgoing correspondence (including emails, faxes, mail and packages; sorting and distributing mail)
  • Organizing maintenance for general office space and equipment, connecting with and escorting vendors
  • Filing and organizing records and office spaces as needed
  • Completing other duties as assigned

Requirements:

  • BA or BS degree
  • Time management and ability to meet deadlines
  • Verbal and written communication skills
  • Excellent analytical skills and keen attention to detail
  • Ability to interact with employees and clients at all seniority levels and maintain a high level of discretion
  • Proactivity and self-direction
  • Well-organized, with excellent communication and problem-solving skills
  • Ability to multi-task and juggle several projects at once, and comfortable working in a fast-paced and dynamic environment
  • Facility with the Microsoft Office suite of programs is a must
    • Microsoft Word or Google Doc
    • Outlook or Gmail
    • Excel or a similar spreadsheet tool (a plus)
    • Basic graphic design and HTML skills (a plus)

Salary and Benefits

Salary is commensurate with experience. DonorsTrust offers health insurance and a 403(b)-retirement plan. Commencing with second calendar year of employment with DonorsTrust, we offer a SEP-IRA plan 100 percent funded by DonorsTrust. We also pay for parking or provide a Metro stipend. A background check may be required.
